Information on the processing of personal data in the context of the CaVaD Symposium on June 1 & 2, 2021 at the Heinrich Heine University Düsseldorf

With this data protection information, the Heinrich Heine University Düsseldorf (hereinafter referred to as HHU) complies with its duty to inform pursuant to Article 13 of the General Data Protection Regulation (hereinafter referred to as GDPR) for the above-mentioned processing of personal data.

For the provision / implementation of the processing we fall back on the support of the following company: mehrpunkt GmbH & Co. KG. Further information on the company's data protection can be found here.

With regard to the terms "personal data", "processing", "controller", "third party" etc. used, reference is made to the definitions in Article 4 of the GDPR.

2. Information on the personal data and recording material processed and the purposes of processing

Within the framework of the organisation and implementation of the Online CaVaD Symposium, your personal data will be processed for various purposes.

Processing of personal data of participants:

  • If you participate in the symposium, we collect your personal data for the organisation of the event: When you register, your title, first name, last name, email address, institution, department und address (optional) will be stored. We collect this data in order to provide you with all the information you need to participate in the event and for the internal organization of our event. Your address is needed if you wish to receive a Conference Box.
  • If you submit an abstract and it is accepted you grant us a non-exclusive right to use the abstract in the following way: It will be published in the CaVaD Symposium Abstract book. This abstract book will be available in the form of a pdf document for download during the CaVaD Symposium in the conference software ExpoIP to registered participants. Additionally, your abstract text will be uploaded into an ExpoIP Infobox and will be available on demand to CaVaD Symposium registered participants. Your screencast will be uploaded into a private Vimeo account for the CaVaD Symposium. Vimeo is a video portal which will be used to play your screencast.
  • If you submit a screencast you grant us a non-exclusinve right to use the screencast in the following way: It will be uploaded into the private Vimeo account of mehrpunkt GmbH & Co. KG for the CaVaD Symposium. Vimeo is a video portal which will be used as an add-on in ExpoIP to play your screencast. A link to your screencast will be available during the CaVaD Symposium in the conference software ExpoIP to registered participants.
  • We and mehrpunkt GmbH & Co. KG will use ExpoIP, Alfaview, Vimeo und Wonder to hold this virtual event. Where necessary personal data may be processed in order to use this software in the implementation of the Online CaVaD Symposium. In addition, further data will be stored which are technically necessary by the software companies. For more, please refer to the following privacy policies:

Processing of personal data of invited speakers:

If we have invited you as an invited speaker to the CaVaD Symposium, we will process your data with your consent as follows:

  • We will include your title, first and last name, city and country in the program.
  • The program will be included in our annual reports after the event, presented to our funding body.
  • The program of the CaVaD Symposium will be published on the HHU website.

 

If photos are taken during the event, we will inform you separately about their use and get your consent for publication.

 

3. Legal basis for the processing of personal data and the production and publication of photographic material

Your personal data will be processed on the basis of the provisions of the EU General Data Protection Regulation (GDPR) and the German State Data Protection Act and, if applicable, other relevant German laws. This is only done for the purposes listed in section 2.

The collection of personal data for the stated purposes is based on the explicit or implied consent of the data subjects pursuant to Art. 6 para. 1 lit. a. GDPR. The extent of your participation in the meeting is at your discretion. In alfaview and wonder by switching on the camera or your microphone, you implicitly consent to the processing of your speech and images during the event. You can voluntarily provide information in the chat. Participation in the event and switching on the camera and microphone are voluntary. You will not suffer any disadvantages if you do not choose these forms of participation.

 

4. Transmission of personal data

We will not transmit your personal data processed by HHU for the purposes mentioned under 2 to third parties. However, we would like to point out that the IT departments or a service provider may have access in the context of care and maintenance work.

Our service provider, mehrpunkt GmbH & Co. KG receives access to personal data (first name, last name & email address), this is based on a contract referring to Art. 28 GDPR.

 

5. Duration of processing/data deletion

Personal data will be deleted 6 months after completion of the CaVaD Symposium 2021 or as soon as you withdraw your consent.

 

6. Your rights as a data subject

As a data subject, you can assert the rights granted to you by the GDPR at any time:

  • The right to information as to whether and which of your data is being processed (Art. 15 GDPR). The restrictions according to § 12 DSG NRW apply;
  • the right to request that the data concerning you be corrected or completed (Art. 16 GDPR);
  • the right to have the data concerning you deleted in accordance with Art. 17 GDPR. The restrictions according to § 10 DSG NRW apply;
  • the right to demand restriction of the processing of the data in accordance with Art. 18 GDPR;
  • the right to object to future processing of data concerning you in accordance with Art. 21 GDPR;
  • the right to revoke consent given at any time. This does not affect the lawfulness of the processing carried out on the basis of the consent until revocation (Art. 7 (3) GDPR).

 

In addition to the aforementioned rights, you have the right to lodge a complaint with the supervisory authority (Art. 77 GDPR). The supervisory authority responsible for HHU is the:

7. Validity of this data protection notice

We reserve the right to amend this privacy policy to bring it into line with any changes in relevant laws or regulations or to better meet your needs. This data protection notice applies in the version last published by HHU.
